    This position is responsible for receiving all guests of the corporate office in Seattle by greeting and welcoming visitors at the Reception Desk and by answering and routing incoming calls and emails.  Provides excellent customer service to applicants, employees, visitors and customers by providing information, answering questions, connecting them to the correct resource person, and following-up as needed. This position provides general administrative support for the corporate office; including answering a multi-line phone system, sorting, routing and preparing all incoming and outgoing mail, copying and filing of paperwork, the upkeep of general office equipment, and creating and maintaining various spreadsheet reports. Assists managers with scheduling and preparing for meetings; including the general upkeep of shared office spaces and conference rooms, booking vendors for meals and preparing presentation materials and binders. Assists in printing of resumes, sorting and responding to Verification of Employment (VOE) requests, unemployment requests, and various business and employee related request forms.

    Responsibilities

    • Answers and routes a high-volume number of incoming calls through a multi-lined telephone system.  Responds to and routes incoming emails. 
    • Greets and receives all visitors to the Seattle Corporate Office.
    • Provides excellent customer service to applicants, employees, visitors and customers by providing information, answering questions, connecting them with the right resource person, and following-up as needed.
    • Maintains company phone lists, directory and location contact information.
    • Provides administrative support such as organizing and managing spreadsheets of various reporting data and handling a variety of assigned projects.
    • Handles all internal mail distribution and outgoing mail; responsible for handling a large volume of outgoing packages across various shipping methods (FedEx, USPS Express Mail, USPS Priority Shipping, UPS).
    • Sorts and opens incoming invoices and distributes as appropriate.
    • Orders and stocks office supplies, including all mail related supplies and postage funds.
    • Assists with administrative HR and Recruiting tasks; including printing of resumes, Verification of Employment (VOE) requests, unemployment requests and a variety of other business and employee related requests.
    • Demonstrates professional, respectful, prompt and productive communication at all times.

    • Assists with processing invoices and managing company credit cards for selected key staff employees.
    • Assists with assembly of reports, applications, binders, resource materials and other documents.
    • Assists with the coordination of and preparation for meetings and employee related events.
    • Ensures that front office area, conference rooms and shared office spaces are neat and organized.
    • Maintains security door database and issues office key fobs.
    • Performs other duties as assigned. 

    Qualifications

    • Strong computer skills including use of Microsoft Office.

    • Ability to be flexible, take initiative, and follow-through.
    • Available to work overtime when necessary, especially during peak hiring periods.
    • Prompt, regular and predictable attendance is an essential function of this position.
    • Prior seafood industry experience is preferred.

    Working Conditions

    • Standard schedule is 7:45 a.m. – 4:45 p.m. with occasional overtime required.
