  • Overview

    This position provides administrative support to the Human Resources Director, HR Manager and HR Department. Assists with tasks associated with recruitment, hiring, benefits administration, personnel file maintenance and archiving, and employee relations. This role will manage ongoing administrative tasks to include: verification of employment requests, unemployment responses and National Medical Support Notices. This position will manage the data-entry of HR changes into the company’s HRIS system and will collect, audit and submit corporate employee timecards to the payroll department. This position also backs up the corporate Receptionist and Administrative Assistant.   

    Responsibilities

    • Assists with advertising for corporate roles by creating and posting job requisitions.
    • Assists with the selection process for corporate positions by tasks such as sorting resumes, scheduling interviews, and completing reference and background checks.
    • Facilitates employee onboarding process by communicating with the candidate and ensuring that the final steps of the application process are completed, including all screening.
    • Documents and enters employee master file changes in the HR Information System (HRIS) and updates employee profiles in the Outlook directory.
    • Maintains paper and electronic HR records, including personnel files.
    • Responsible for preparation of administrative payroll which includes calculating timecards to ensure proper time and benefit policies are being followed and working through discrepancies with the accounting department to ensure that payroll is submitted in a timely manner.
    • Manages administration of Icicle’s leave and attendance policies including policy and document creation.
    • Assists with benefit administration; including auditing of benefit information, assisting with open enrollment process and preparing benefit-related mailings (health insurance enrollment, COBRA, 401(k) notices, etc.)
    • Responds to requests for information including verification of employment requests, unemployment claim forms and National Medical Support Notices.
    • Codes vendor invoices related to HR services.
    • Provides administrative support on confidential HR matters.
    • Provides back-up support for corporate Receptionist/Administrative Assistant to include front desk coverage, internal routing and external mail.
    • Assists with various office events.
    • Other duties as assigned.

    Qualifications

    • A minimum of five years’ experience working in a HR assistant or administrative experience role for a medium to large organization.
    • Knowledge of HR best practices and regulations.
    • Advanced Word, Excel, and Outlook and PowerPoint skills.
    • Excellent organizational skills. Ability to prioritize work tasks and meet multiple deadlines.
    • Ability to maintain confidentiality.
    • Excellent interpersonal skills. Ability to interact and communicate positively and professionally in person, on the phone and in writing.
    • Ability to maintain composure during busy and stressful situations.
    • Understanding of basic payroll accounting and G/L coding.
    • Ability to work efficiently and independently in a fast-paced environment.
    • Willingness to perform routine administrative tasks such as data entry and mass mailings. Data entry experience.  Prior experience using HRIS system is highly recommended.
    • Seafood experience preferred.
    • Prompt and reliable attendance is an essential function of this position.
    • Available to work extended hours as needed.

    Working Conditions

    This position is based in the Seattle corporate office and will require prompt and reliable attendance. The current work schedule is Monday-Friday, 7:45am – 4:45pm. Please note that this position may require some extended hours (mornings, evenings, weekends, holidays, etc.) in order to meet business needs.
