  • Overview

    The HRIS Coordinator is responsible for assisting with the prompt and accurate management and input of payroll information for all of Icicle’s Western Alaska locations.  This position will work closely and collaboratively with Operations and Icicle Payroll.  The HRIS Coordinator will also play a strong supporting role for the recruitment team. Responsible for handling all paperwork related to the onboarding of new and returning employees as well as maintaining all HRIS employment data. Will also assist with placing advertisements, contacting employees and applicants, performing reference checks and other tasks as need to support the recruitment and onboarding process. The HRIS Coordinator reports to the Manager of Alaska Recruitment and is a fulltime salaried, non-exempt, position.

    Responsibilities

    Enters and maintains payroll data, deductions, and reimbursements into HRIS system for all Western Alaska locations and Shop payroll year-round.

     

    Tracks all benefit enrollment forms, ensuring form completion and timely entry of Start/Stop dates and qualifying event changes. Works closely with Benefits Manager to ensure accuracy.

     

    Cross trains with other HRIS Coordinator for Western Alaska Payrolls and acts as backup when needed.

     

    Assists with the performance of reference checks in adherence to all Icicle company policies and procedures for all Western Alaskan applicants, and other areas of the company.

     

    Expected to be a power user of HRIS (UltiPro), Reporting (BI), Onboarding (iCIMS), and MS Office Suite applications in order to provide support to the department. Will complete special projects

    within UltiPro, as needed.

     

    Create reports in UltiPro’s Business Intelligence report system for regular department reports, and special reports as needed.

     

    Track and record referral bonuses, as well as other payroll related reimbursements, sending final spreadsheet to the Manager of Alaska Recruitment for payment at end of season.

     

    Work with the Manager and Assistant Manager of Alaska Recruitment in managing the employee Leave of Absence (LOA) program, including the tracking of employees currently out on a LOA, contacting employees regarding LOA status, and ensuring that Icicle has received a response and any necessary backup paperwork in the timelines outlined in their LOA paperwork.

     

    Work closely with Operations and Assistant Manager of Alaska Recruitment to track hours worked by H2B employees and ensure compliance with H2B Program, including the running of audit reports.

     

    Ensure that filing cabinets and electronic files are updated with all employee paperwork.

     

    Assist in the creation/compilation of recruitment procedure manuals.

     

    Assist in the creation and maintenance of department process manuals and flow charts.

     

    Assist recruiters with large group coordination and logistics to our AK locations, as needed, which may include meeting groups at the SEATAC airport.

     

    Covers Personnel front desk for breaks and lunch, as needed.

     

    This position will be responsible for special projects within the Recruitment and HR department.

     

    Other duties as assigned.

    Qualifications

    Minimum 3 years of experience in an office environment

     

    Strong Microsoft Office skills and data-entry accuracy.

     

    Excellent written and verbal communication skills.

     

    Strong attention to detail and organizational skills.

     

    Able to work both independently within a fast-paced environment as well as collaboratively within a team setting.

     

    Able to multi-task and prioritize projects to meet deadlines.

     

    Prompt, regular and predictable attendance is an essential function of this position.

     

    Must be available to work extended hours, including weekends and holidays, as necessary.

     

    Bachelor’s Degree preferred.

    Working Conditions

    This position is based in the administrative office located in Seattle, Washington.  Face time in the office is a key company value. And the person filling this position must exhibit prompt and reliable attendance into the office during core business hours. The standard schedule for this position will be Monday-Friday, 8:00am – 5:00pm. Please note that this position may require some extended hours (mornings, evenings, weekends, holidays, etc.) to meet business needs during peak seasons.
